Conclusions at the bottom of the spreadsheet. Tues. May 22 or Sun. May 20 (but more expensive on Sunday) ... might have to charge more than $60 to just break even and no toilets for that price. Tues. May 22 $32.81/person to just break even ... 16 people.
Too late for tomorrow and maybe Wed....to get insurance.

Also note that Tuesday evening is about 1/2 the time compared to having an entire day.....and, hence, roughly 1/2 the cost makes sense.
Might be something to consider.

If you feel strongly either way, let me know right away! The long weekend is this coming weekend and it is coming FAST! Need to book the lot, toilets and insurance.....decision by Wednesday at the latest if we want to run Sunday! :)

The estimated cost for Sunday, May 20 is $75 each for the club to break even. That date has the most interest and is perhaps the best deal for the no. of runs you will get etc. About 27 people said they would make it and I suspect a few more will show.
I just realized I had not included the price of 2 toilets, handwash station in the earlier calculation/estimate.
So I am just trying to arrange lot rental and insurance.

My thoughts are a sort of "standard" course so that it is repeatable between runs for setup purposes but also challenging and good for "Practice" ... e.g. expect a longish slalom (you can never practice slaloms enough!) and an assortment of sweepers etc. I was also thinking of perhaps experimenting with some different course elements. Which means, expect to see multiple course layouts or even "tweaks" are not our of the question during the day (since no points and therefore no necessity to keep the course the same.
We'll have timing but someone has to pick up the timing equipment from Murray. I was thinking of just letting the timing "run" and not recording times. Therefore be prepared with stickies/paper and pen if you want to record your times.
Since there is no necessity to keep the course the same, we can "play" a bit until we get elements that we "like" ... so there is a bit of flexibility.
On the other hand it should not be a different course every run ... although I guess that could be very, very challenging .... :)

I was also thinking of perhaps 3 shifts ... minimal workers and then you get more seat time ... say 30 people. 10 people work, 20 people run with continuous change-overs at 20 or 30 min. intervals. If a LOT of cones are down, we'll just shut down temporarily and "fix" them.
Workers would only be required on a slalom or other places where cones are likely to be hit. A long slalom may need 2 people so running is minimized.
Changes to the course can be made during change-overs.
After the course design is done I'll figure out where we need workers and how many we'll need just by observation. I suppose a spreadsheet with the positions can be done up quickly too so down-time is limited that way too ... so you know exactly where you need to go.

And it goes without saying that for the course design I'll try a bit more than usual to try and make it a less cone carnage intense course. In slaloms, of course, there will be cones hit due to the "nature of the beast". :)

It struck me that if you had only a 1/2 day it could be worth it because you would probably get more than a regular day's worth of runs in! :)

Thanks but just got back (had my jacket to pick up from my niece's place in McKenzie Towne) ... and picked up all the timing equipment and radios, chargers etc. As it turns out, Murray and Jo are competing down in the 'States again next weekend so it is good to have the equipment for both weekends.

Budget wants a confirmation by 12/noon today.
Thus far we have 10 entries and break-even (even without washrooms) is 22 or 27 with washrooms (I have to order them too).
The FB poll had 27 people interested ... so, all you last minute stragglers, are you going to sign up? ;)

16 people ... so the only way I can make this work is to do a 1/2 day. Is that a problem for anyone? Say 12 - 4 pm.....I'll see if Budget is willing to go for that....for 1/2 price. I'll need help setting Saturday afternoon ... or maybe Sunday morning?
Note that with 1/2 of the expected people you can expect the same no. of runs but just in a 1/2 day... so you are still getting the same value for the money. :)

Hmmm....with less people I can think of all kinds of interesting "things" we can do.
Setup will be at 9 am Sunday morning (or just before? ... usually about 2 hours ... then have time for course walks.) ... Derek and Stephen M have already said they will help out.

You can come earlier for course walks and such. I am aiming to be there around 9 Amish to pick up the gate key, pay for the lot and start setting up. We should have the course set by 11 am (usually takes about 2 hrs. ... perhaps less if I take out some extra cones).

There has been a bunch of photos by various people posted on the FB page if you are interested.
It was a good day, incidentally! 15 people showed so there were plenty of laps and quite a few people came early to help setup in the morning which worked out beautifully! Thanks to all who helped setup and tear down the course! I think it was record time that we assembled it! :)
