Its good to see the increased interest in our events since we have secured the YYC Lot.

Murray mentioned in one of his recent posts on High Entries that if we are going to run more people and still enjoy a reasonably amount of runs we need to up our efficiency. I totally agree with his sentiments, but how do we do that ?

As I look at our club I see lots of things that really work well, I also see the enthusiasm that our members have when they arrive at the track to get things set up. Well done to everyone. People getting stuck in makes it all work.

At last years AGM I made some suggestions regarding Teams. TOGETHER EVERYBODY ACHIEVES MORE It is my believe that the only way we are going to up our game is a model based on Teams.

One of the issues we need to look at is how do we do that? Well a great example is the timing Team that Murray set up. It works great, and no one person feels the total weight, (Well maybe Murray) but the delegation and ownership of responsibilities of those on the Team make it work, the timing team are taking initiative and offering leadership.

We must move away from the one man band and improve our delegation skills, I don't mean giving people jobs I mean giving people leadership and responsibility. 

Suggested Teams

1. Course Design & Setup Team, (Taking the heat of Reijo) We not only need to train people to design courses we need to create opportunity for them DO IT. So instead of Reijo feeling the full weight of designing courses we start delegating, (Training & Delegating)

2. Timing Team (already working well)

3. Equipment Team. Responsible for all our gear excluding the timing equipment.
    (a) Purchasing New Cones, banners, signs
    (b) Making sure the cones are on site so when the CD&ST arrives everything is ready to go,  this alone will remove most of the wasted time, helping us to get started at 10.00 sharp.

In a efficient club we need people playing there part, not just helpers but leaders who take on certain roles and build a team around themselves. In some ways we have that Chairman - Secretary - Solo Director. For to long most clubs have had to few people doing most of the work. Setting up teams and seeing the importance of delegation is in my opinion the only way forward without placing additional strain on those already doing more than there fair share of the work.

Just my 2 cents worth, I could be totally off base.

I think it is a bit more than teamwork -- unfortunately IMO.  Sucessful events with large numbers of participants require some fairly serious restrictions, with the most imposrtant being no walkups and no last minute changes by registrants.  i.e. the Motorsportreg report is the one and only source of data.  This makes it possible for run groups and worker assignaments to be completely correct before th morning of the event.  That sounds easy, but, wow, it is amazing how rarely that happens.

We had no walk-ups for the YYC events ... all sold out including the present one (oversold now) ... and I shut the registration.

There will always be changes on the morning of the event - no shows, people changing cars, etc.  You see this even at the SCCA Nationals with early cut-off etc. ... a fact of life and something to deal with.  However we can cut off changes on the morning/day of the event, say, an hour before running?  Half hour?  Dunno.  What works?

And, I can use some help for setting up on Sunday morning ... of course.

Class changes on the morning of the event causes problems and slows us down because of heat assignment changes.  It would be best by far if we can have our heat assignments done the day before and printed out for people to look at -- otherwise we end up with newcomers getting confused and running in the wrong heat.

Did we allow pre-registration but pay on site? I think we did previously and it doesn't make any sense?

A quick look at the registration list, I think there will be class shuffles morning of as. Not sure how to get around this as new people don't know their class.

Yeah, we are probably stuck with class shuffling :(

I need to update the mjtiming software to group heats by class instead of group (street, touring, etc) because the street group is more than half the field.

I will pre assign work assignments based on this split just like I did for the last event, this seemed to work quite nicely. An experienced person is pre-assigned as the leader of each work station.

The order in which you run the heats can be determined by a coin toss the morning of.

Even with shuffling in classes, it should not be as big a problem as with our smaller events since we will have more than enough people to work the course.  1 or 2 or more moving around should not affect the run order significantly.  We just set the classes as we have and work with it.

Probably 6 corners ...  but I will confirm later.  CONFIRMED.

CORNER STATIONS - MIN 3 WORKERS EA., CORNER CHIEF/RADIO PLUS 2 RUNNERS.

STA. 5 - 5 CONE SLALOM - SPREAD OUT WITH EXTRA CONES - TYP. 2ND AND 3RD CONES  GET HIT MOST

OTHER STATIONS SPREAD OUT TO INSIDES OF CORNERS TO BE ABLE TO REACH DOWNED CONES QUICKLY.
