Hi Everyone,

The executive have started to evaluate the possibility of holding autocross events within current restrictions in place from the Government of Alberta due to Covid-19. The current restrictions require a gathering size of maximum 15 people, on top of physical distancing requirements. The events would be for fun only, and we do not feel that we could have a season championship this year given the current restrictions.

While we are still evaluating the possibility of holding these events we need to understand how much of our membership would be interested in attending events within the current restrictions. Below is a link to a 4 question survey regarding whether or not you would want to attend events this year, and how many, as well as if you have a co-driver we need to consider. If you could please answer this prior to next Tuesday, May 12, 2020 it would be extremely helpful for us to understand the scope of events we may need to consider.

While we are soliciting these responses we want everyone to understand we are evaluating these events as possibilities, not certainties at this time. We would like to hold events but we need to make sure we do so safely and within current guidelines. Currently the only venue we have booked is Fort Macleod, and would be likely the only location we would use to save on costs and keep event costs down for participants, but those rates have not been reviewed yet. If guidelines from the Province change positively we will take that into account also.

An email will also come out through MSreg regarding this as well. If there is anything in particular you would like to discuss please do so here.

Also, I should clarify. If we are operating within restrictions from the Alberta Government we would only open up entry to current members.

We had distributed the email from MSreg to last year's members as we understand some do not buy their membership till the first event.

For fort McLeod could we do like we did the schools previously could it be a “split” venue and host 15x2 for the events?

Also I would be up for a school again or even a number of mini-instruction days to keep these dates in play and venues alive at a higher entry fee.

The challenge we may face is that the Town has inquired about how many people we would have on-site at once. Since it is public property I imagine if we had more than 15 there at once we may cause ourselves more headaches, even with distancing as we are all part of the same club.

We haven't gotten to the point of thinking about schools just yet. Mainly trying to see about running fun events right now.

totally understand if the airport takes the position that the limit is for the whole property.

Would be into any fun runs however they’re set to go!

Well we have guidelines at least from both Alberta now as well as scca https://www.scca.com/pages/solo-1588021531-21

So hopefully if we can follow the guidance that ab gives as well as having a risk assessment already done and additional policies to follow for an event we could show the event locations we at least have a responsible plan to follow? 🤷‍♂️

Supply for PPE may not be easy to facilitate considering availability of supplies. There are so many measures to consider.

The restriction of gathering 15 or less is still in place and exemptions are only given for approved businesses, which we are not. So unless the gathering restrictions are lifted we are stuck to that.

Castrol just received the go ahead for track junkies events as the were able to be grouped in “outdoor activities”

This was sent out as an email to members. It is re-posted here as an additional FYI.

Thank you to everyone that answered the previous survey. We got a positive response, with over 58 people wanting to attend events in restricted conditions this year with 44 of them wanting to attend 3+ events.

Since that survey the executive have met to discuss. There are currently two approaches being undertaken.

1) We are approaching AHS requesting that our events are able to operate as "outdoor activities" under the Phase 1 relaunch strategy, we do not know if this will be successful but we are attempting it

2) After discussing in detail we have decided that if we are required to run with restrictions we will continue with the rental of Fort Macleod and run two separate events per day, morning and afternoon. The planned events would be as follows, more details are below:

June 20 Saturday - Fort Macleod - SASC Event #1
June 27 Saturday - Fort Macleod - SASC Event #2
July 4 Saturday - Fort Macleod - SASC Event #3
July 25 Saturday - Fort Macleod – SASC Event #4
August 22 Saturday - Fort Macleod - SASC Event #5
August 23 Sunday - Fort Macleod - SASC Event #6
August 29 Saturday - Fort Macleod - SASC Event #7
September 19 Saturday - Fort Macleod - SASC Event #8
October 3 Saturday - Fort Macleod – SASC Event #9
Each day would have a morning and afternoon session with separate participants and organizers, using the same course that would be setup in the morning. With the small groups we feel that we could get up to 10 runs per morning and afternoon session. By doing this we know that we will be able to keep individual event costs down to $60. These events would be for fun only, but times would be recorded, and the day would be "scored" on an individual basis.

In addition to the above information we will also need to develop safety protocols, which we are currently working through as we speak. We decided that an event the first weekend of June would be difficult for us to achieve given these new protocols.

Due to the the overwhelming response we received we need to determine who would attend which events, and ensure we have the members available to help facilitate each of these events. We also need to identify members that are able to assist with the hauling of cones and equipment from our storage locker in Fort Macleod to the site.

With that I need to ask you to complete another short survey linked below. We need responses by next Tuesday, May 19.

This will allow us to understand which events you are available for and would like to attend so we can distribute events evenly among our membership. Also, please only answer the question about hauling equipment if you are willing to and able to haul equipment for those events. You will need a truck/minivan to do this, it would be difficult to fit in an hatchback.

Updated Alberta restrictions.

“ Unless otherwise identified in public health orders, such as workplaces, places of worship or in restaurants, gatherings of:
more than 15 people are not allowed in one indoor location

more than 50 people are not allowed in one outdoor location

All gatherings under these limits must occur in a space that allows for mandated physical distancing of at least 2 metres from each other.“

We are in another unfortunate situation. The new order 18-2020 (which is a modification of order 7-2020) has prohibited us from running events, since we would be classified as a sporting event/competition. This new order would not even allow us to run with less than 15 people.

Right now we are communicating with AHS to see about us running events. We will update when we have more info.

Can't we just use the golf course exemptions by having everyone carry a club (properly secured) in their "golf cart" that has been limited to a single person capacity? Maybe have to drop a golf ball down a gopher hole to make it fully legit!
